💡Purpose of this article: Inform how to properly prepare manual data for Numeral to include in your filings.

How do I know if I need to prepare manual data?

You need to prepare manual data if you have sales and tax data that Numeral is not pulling from your connected stores. Connected stores could be Shopify, Amazon, Walmart and Ebay.

What do I need to do?

In order to provide manual data to Numeral, you need to do the following:

1- Download the CSV file attached at the bottom of this page: 'Manual Upload CSV Template

2- Populate it with your data

3- Email the data to help@numeralhq.com by the 5th of the month with the subject “Manual Data”

ATTENTION**:** It’s important to email the data by the 5th of the month for it to be included in your filings.

ATTENTION**:** Do not organize your data in different tabs. Send everything in one tab.

How do I populate the CSV with my data?

You should add a row for every single Line Item on your orders. This will enable Numeral to accurately report your sales data, in order to remit tax owed.

Below we will let you know what information you should add for every row:

Column A: Line_Item_ID

Format: Text

Required: Yes

Description: This is used to uniquely identify each line/transaction within the order. You can use any value that you want as long as it is unique. If your system tracks a unique item ID within each order, you can use that; i.e.: a “Line Item ID”. If you do not track that in your system, we recommend using the OrderID with an appended index number for the line item. For example, if you have an order number 40309 and within this order there are 4 items, you can append the indexes such as: 40309-1, 40309-2, 40309-3, 40309-4.

ATTENTION**:** If the same Item_ID is used more than once (even in different months), it will overwrite the previous one sent.

Column B: Order_ID

Format: Text

Required: Yes

Description: This is used to identify each order. If you have an Order with multiple line items, you can repeat the Order_Id in this column as many times as needed. Since many states use total order count to help establish nexus, we use this value to ensure we can accurately determine state by state nexus for your company.

Column C: Sales

Format: Number

Required: Yes

Description: This is the price of your product or line item that we will use to calculate the tax owed. You should prepare this column as follows:

Discounts: discounts should not be included. You should input the value after the discount was applied. In other words, the amount that the customer paid, before tax.

Content: Please do not include data aside from numbers here (do not include $ sign)

Decimals: Make sure to use a period (.) for decimal values.

Thousands: Please do not use a comma to separate thousands.

Acceptable formats: 50.24, 34, 20.00, 0.45

Rejected format: $50,24

Column D: Total_Taxes

Format: Number

Required: Yes

Description: This is the amount of tax that you collected on this product.

Content: Please do not include data aside from numbers here (do not include $ sign)

Decimals: Make sure to use a period (.) for decimal values.

Thousands: Please do not use a comma to separate thousands.

Acceptable formats: 50.24, 34, 20.00, 0.45, 1000.00, 10000.00

Rejected format: $50,24, 10,000

Column E: Taxable

Format: Text

Required: Yes

Description: Is this product taxable? Please add TRUE for items that are taxable and FALSE for non-taxable items.

Options: TRUE, FALSE

Column F: Shipping_Address_State

Format: Text (You should use a 2 character code for each state)

Required: Yes

Description: This is the state to which we will allocate the sale when filing your tax returns. If you shipped a physical product, this will be the delivery address state. If your product is digital, this will often be the state used in the billing address. And if you used a physical POS location, it will almost always be the state in which that POS location is located.

Acceptable format: FL, CT, GA, etc.

Rejected format: Florida, Connecticut, Georgia

Column G: Shipping_Address_Zip

Format: Text

Required: Yes

Description: This is the zip code that corresponds to the Shipping_Address_State. If you have zip codes with leading zeroes, such as in many Northeast states, ensure that your upload doesn’t trim off the first zero (Excel will often do this) by adding a ‘ character before the leading zero.

Acceptable formats: ‘02155, 02155-0001, 98103, ‘02155

Rejected formats: 2155, 021550001

Column H: Transaction_Date

Format: Text ‘YYYY/MM/DD’

Required: Yes

Acceptable formats: 2024/07/30

Rejected format: 07/30/2024

Column I : Shipping_Address_City

Format: Text. We will match these values to jurisdictions when doing your tax filings, so make sure that they are clean entries.

Required: No (Optional)

Acceptable formats: Boston, BOSTON, boston, Los Angeles, Oklahoma City

Rejected formats: Boston Sales Tax, City Sales Tax, Tax

Column J: Shipping_Address_Country

Format: Text

Required: No (Optional)

Column K: Shipping_Address_County

Format: Text. We will match these values to jurisdictions when doing your tax filings, so make sure that they are clean entries.

Required: No (Optional)

Acceptable formats: King County, KING COUNTY, KING, King

Rejected formats: County Sales Tax, King County Tax

Please erase rows 2 and 3 of the document and add your data.
